Moving to ThatFiscal

Coming from Excel, QuickBooks, Zoho Books, Odoo or Sage? Here is how to move across cleanly — or keep your system and connect it instead.

Seven Steps

Choose a cut-off date

Pick the day your books move to ThatFiscal — the start of a month is easiest. Everything up to it stays in your old system; everything after it happens here.

Export from your old system

As at the cut-off, export: customers and suppliers (names, TINs, VAT numbers, contacts); items with their prices and HS codes; invoices still unpaid and bills still owed; your bank and cash balances; your fixed assets; and a trial balance.

Set up your company

In Settings & Branding add your logo, address and bank details. Add your bank and cash accounts in Bank & Cash, and set the official USD to ZWG rate in Financial Settings.

Load customers, suppliers and items

Add your customers and vendors, and your items in Items & HS Codes — with their HS codes, so every invoice carries them.

Enter your opening balances

Use Enter Your Opening Balances on the dashboard's setup checklist: what customers owed and what you owed suppliers on the cut-off date come in as balances brought forward, and are paid off like any invoice. Fixed assets load from the asset import template.

Register your fiscal device

We register a test device first and prove your invoices pass ZIMRA's checks, then your production device. From then on, invoices are issued on production.

Run side by side, then switch

Issue a few days of invoices in ThatFiscal while your old system is still to hand, check the reports agree, then stop issuing in the old one.

Coming From…

Excel or paper

Your customer and item lists are usually already in a spreadsheet — tidy the TINs (10 digits) and HS codes (4 or 8 digits) before you load them.

QuickBooks Online

Export Customers, Vendors and Products & Services, and the A/R and A/P ageing at the cut-off. Or keep QuickBooks and connect it.

Zoho Books

Export Contacts and Items, and the receivables and payables reports at the cut-off. Or keep Zoho Books and connect it.

Odoo

Export Contacts and Products (with their internal references and HS codes), and the aged receivables and payables. Or keep Odoo and connect it with our module.

Sage or Pastel

Export the customer, supplier and inventory lists and the age analysis at the cut-off. Or keep Sage and connect it through our API.

Rather Keep Your System?

You can. Odoo, Zoho Books, QuickBooks Online, Sage, Excel and any system that can call our API fiscalise through ThatFiscal, and your books stay where they are. See the setup guides, or talk to us and a consultant will help you choose.
